Building a Commercial Construction Budget That Holds

A budget usually fails in the last sixty days. The building is nearly done, the FF&E truck is on its way, and the owner learns that the furniture install, the permit closeout fees and the signage were never in the number. The construction line was right. The budget was incomplete. Build it from the day the building opens, not from the day the concrete is poured.

Everything the opening needs

List what has to be true on opening day and price every piece of it: the building, the furniture and equipment in it, the signs on it, the technology wired through it, the landscaping and the parking lot, the permits closed and the inspections passed. On a hotel that means casegoods, soft goods, artwork and the labor to receive, stage and install them. On a restaurant it means the kitchen line. On an apartment community it means the model unit and the leasing office. These are budget lines, not afterthoughts.

The lines outside the contractor's proposal

Architecture and engineering fees. Surveys, geotechnical borings and environmental reports. Permit, plan review, impact and utility connection fees. Builder's risk and liability insurance. Third-party testing and special inspections. Loan interest and lender fees during construction. Legal, brokerage and brand fees. These lines add a meaningful share on top of construction, and they are due whether the building is finished or not.

Where the construction line moves

Inside the construction number, three things swing it: the finish level, the systems behind the walls, and the condition of the site or the existing building. Occupied renovations add phasing and night work. A compressed date adds overtime. We separate these on the proposal so you can see what a choice costs before you make it.

Money you plan not to spend

Carry an owner's contingency outside the contract, sized to how well the existing conditions are known. A new building on a clean pad needs less. A sixty-year-old hotel that has never been opened up needs more. Contingency is not a target and it is not the builder's to spend. It is your reserve for what nobody could see. A budget that spends it in the first month was never a budget.

Placeholders for decisions not yet made

When a selection is still open, the proposal carries a stated amount for it. Set that amount at what you actually intend to buy, not at the cheapest option, and track the difference when the real choice is made. We report every open placeholder on the monthly update so the total never surprises you.

How changes are handled

Some change is normal. What matters is the rule. On our jobs no change to cost or date happens without a written notice you approve first, with the price and the schedule effect on it. Field fixes that move nothing just get done. That rule is what keeps the contract number and the real number the same document.

Reading the monthly bill

The contract price is broken into a schedule of values by trade and area. Each month's invoice shows work in place against it, materials stored, and retainage held. Read it against the site walk. If the two match, the budget is telling the truth.
